The Challenge:
CNIB was using conventional static shelving systems to store its finance, HR, payroll and client files at its headquarters in Toronto. These systems were encroaching on the floor space of workers and volunteers in each of the designated areas. Every department had its own filing room with banks of filing cabinets running from the wall to the center of the room and sometimes beyond. Workers and volunteers had very little space to move freely inside each room.
Adding to the burden of the space, CNIB wanted to centralize all of its finance records from across the country. The organization was already running out of space for its existing files and now they wanted to add filing volume.

The Solution:
After consulting with Office Source, a full service furniture provider, Spacefile’s Mini Storage Aisle (MSA), Mechanical Assist Mobile (SDS) and ThinLine shelving were selected because they maximized document storage while drastically increasing the available floor space and drastically decreasing the filing cost per inch.
“The economics were right, especially for a non-profit,” comments Alex Honeyford, the Administration Manager at CNIB.
MSA systems were installed for the finance and HR departments. SDS systems were chosen for payroll and client files.

The Result:
“It is a lot easier to file and we are much more efficient,” states Yvonne Williams, Administration Secretary at CNIB.
The finance department has been able to add accounts payable and accounts receivable files from across the country and centralize all of its documents, as its storage capacity has increased significantly. Prior to Spacefile, close to half of HR’s floor space was devoted to files. Now a single Spacefile MSA system stores all of CNIB’s HR files. In addition, a single Spacefile SDS system stores all of CNIB’s payroll files for over 1,100 employees and another SDS stores all of the client files for the Toronto region.
